PQA Bicester Summer Camp – Terms & Conditions

1. Booking and Payment

  • All bookings must be made through our ClassForKids system.
  • Full payment is required at the time of booking to secure your child’s place.
  • Places are limited and allocated on a first-come, first-served basis.

2. Cancellations and Refunds

  • Cancellations made more than 14 days before the camp start date (11 August 2025) will be eligible for a full refund.
  • Cancellations made within 14 days of the camp start date will not be eligible for a full refund, unless in exceptional circumstances (at the discretion of the Principal).
  • In the unlikely event that we need to cancel the camp, a full refund will be issued.

3. Behaviour and Code of Conduct

  • All participants are expected to behave respectfully towards staff, fellow students, and the venue.
  • Any behaviour that risks the safety or enjoyment of others may result in the student being asked to leave the camp, without refund.
  • Our standard PQA Code of Conduct applies throughout the week.

4. Attendance and Timings

  • The camp runs from 10am to 4pm daily, Monday 11 – Friday 15 August 2025, at Whitelands Academy, Bicester.
  • Parents/carers are responsible for ensuring prompt drop-off and collection.
  • Late collection may incur additional charges unless previously agreed.

5. Health and Safety

  • Please inform us of any medical conditions, allergies, or additional needs at the time of booking.
  • All staff are DBS-checked and trained in safeguarding procedures.

6. Food and Snacks

  • Students must bring a nut-free packed lunch and any snacks required for the day.
  • Lunch and snack breaks will be supervised, but food is not provided.
  • Please ensure all food containers are clearly labelled with your child’s name.
  • We kindly ask parents to avoid including fizzy drinks or sweets, as we aim to promote a positive and energised environment throughout the day.

7. Media Consent

  • This is a joint Musical Theatre and Film & TV project. Students will be filmed throughout the week.
  • The final piece may be submitted to the PQA South Film Festival, uploaded to YouTube, and shared on our social media channels.
  • By booking, you acknowledge this and confirm you understand that your child’s image may be used in these contexts. Full consent will be requested via the official booking form.

8. Personal Belongings

  • Students should bring a packed lunch, snacks, and a refillable water bottle each day.
  • We advise against bringing valuables. PQA cannot accept responsibility for any lost or damaged personal items.

9. Dress Code

  • Students should wear comfortable clothing suitable for movement, such as leggings, joggers, or shorts. Avoid jeans or restrictive clothing.
  • Trainers must be worn – no sandals, crocs, boots, or open-toed shoes please, for safety and ease during movement.
  • Please avoid busy or dangly jewellery, which can be distracting or pose a safety risk during physical activities and filming.
  • Most costumes required for filming will be provided by the Academy. However, if your child has suitable items at home that might work for their character, they are welcome to bring these in on filming days - we’ll let you know in advance if anything specific is needed.
